Privacy Notice

1. Who is responsible for your data
The Restaurant Standing Cost System is operated by PRASAD SURESH PRADHAN ("we", "us"), based in India, who acts as the data controller for the personal data described in this notice.
2. What we collect
- Account details — name, email address, and sign-in credentials.
- Workbook data — the restaurant figures you enter into the online system, stored so the service can save your work.
- Support messages you send us.
- Usage and technical data — device identifiers, IP address, browser type, and basic telemetry about how the site is used.
Payment card details are collected and processed directly by Paddle (our Merchant of Record); we never see or store your card number.
3. Why we use it (purposes and legal basis)
- Creating your account and providing the service, including saving your workbook — performance of our contract with you.
- Security and fraud prevention — our legitimate interest in protecting the service.
- Product improvement and aggregated usage analysis — our legitimate interest, using data in aggregated or minimised form where practical.
- Customer support — performance of contract and legitimate interest.
- Marketing emails, where you have opted in — consent, which you can withdraw at any time.
- Meeting legal and tax obligations — legal obligation.
4. Who we share it with
- Service providers and subprocessors that help us run the product (hosting, authentication, analytics and support tooling), bound by appropriate safeguards.
- Paddle, our Merchant of Record, who processes the sale, subscription management, payments, tax compliance and invoicing under their own privacy terms.
- Professional advisers (legal, accounting) where necessary.
- Authorities, where required by law.
We do not sell your personal data. Where data is transferred internationally, it is protected by appropriate safeguards such as standard contractual clauses or adequacy decisions.
5. How long we keep it
- Account information — kept while your account is active, then deleted within 90 days unless we need it for legal or tax reasons.
- Workbook data — kept while your account is active and for 90 days after closure or cancellation, then permanently deleted.
- Payment records — kept for at least 7 years to meet tax and accounting obligations.
- Support emails — kept for 2 years after the last reply so we can follow up if a question comes back.
When data is no longer needed, it is deleted or anonymised. You can request early deletion by emailing us.
6. Your rights
Subject to the laws that apply to you, you may have the right to access, correct or delete your personal data, restrict or object to its processing, receive a portable copy, and withdraw consent where processing is based on consent. 7. Security
We use appropriate technical and organisational measures, including encryption in transit and strict access controls, to protect your personal data.
8. Cookies
We use essential cookies and local storage to keep you signed in and to remember your workbook. We may use privacy-respecting analytics to understand site usage. You can control or delete cookies through your browser settings; essential cookies are required for the service to function.
